Operations Manager
Rebottaro Family Dentistry | Private Practice
Danville, CA

WHAT SUCCESS LOOKS LIKE IN THIS ROLE
As the Operations Manager, you understand that exceptional patient care depends on strong operations, accurate financial processes, and a team that can rely on clear systems and follow-through.
You take ownership. You notice what others miss. Whether it's managing accounts receivable, resolving insurance issues, improving workflows, tracking key metrics, or supporting the front office team, you make sure the details are handled and nothing falls through the cracks.
This role is ideal for someone who enjoys both the financial and operational side of a dental practice. You'll be trusted to oversee the revenue cycle, maintain accountability around collections and reporting, support treatment coordination when needed, and help create the structure that allows the practice to continue growing.
THE PRACTICE
Rebottaro Family Dentistry is a well-established, privately owned general dental practice in Danville, CA led by Dr. Michael Rebottaro and Dr. Brandon Rebottaro. Decades in the community. Exceptional clinical reputation. A loyal patient base and a team that has been here for years.
This is not a corporate office. There is no billing department above you, no call center handling your claims, and no one to blame when something falls through. There is a doctor who built this practice from the ground up and a financial system that needs someone who takes the same kind of ownership he does.
WHAT YOU’LL EJJOY ABOUT THIS OPPORTUNITY
• Your work will be seen and valued. The revenue cycle is not an afterthought here — it is a recognized function with clear expectations and direct visibility to ownership.
• You will have clean systems and real support. You are not inheriting a disaster. You are stepping into a structured role with defined processes, a strong front office team, and leadership that is invested in getting this right.
• You will work directly alongside a senior treatment coordinator and a patient care coordinator who are already performing at a high level. Your lane is clear. You own the financial side completely.
• There is room to grow. The practice is in a growth chapter — second-generation ownership transition underway, strong production, and leadership that is actively investing in the team around them.
WHAT YOU’LL OWN
• Insurance verification — every patient, every appointment, new and existing
• Claims — submitted same day, followed up, appealed when denied, nothing left unpursued
• Accounts receivable — daily posting, aging review, Delta reconciliation, payment arrangements
• Financial reporting — weekly AR summary, monthly production vs. collections, adjustments, financial performance
• Closing audit — daysheets, deposit, end-of-day financial accuracy
• Friday treatment coordination coverage — Tx Tracker, case acceptance, end-of-week summary to doctors
• Compliance — IOSP, WFT, credit balances, monthly audits
IDEAL BACKGROUND
• You have 2+ years of dental billing, insurance coordination, or AR management — private practice preferred
• Dentrix is not a learning curve for you — it’s just the tool you use
• You know dental insurance from the inside — Delta Dental, PPO billing, appeals, aging, secondary claims
• You don’t wait for someone to tell you a claim is aging. You already know.
• You are precise. You are consistent. You don’t let things slip.
• You can cover treatment coordination fundamentals on Fridays — this is part of the role
